VAT Invoice Templates

VAT (value added tax) in theory avoids the cascade effect of sales tax by taxing only the value added at each stage of production. For this reason, throughout the world, VAT has been gaining favor over traditional sales taxes. For example, VAT is a tax that's charged on most business transactions in the UK. Businesses add VAT to the price they charge when they provide goods and services. Here we offer two types of VAT invoice template that work with Excel Invoice Manager, i.e. VAT invoice - price excluding tax, and VAT Invoice - price including tax.

VAT Invoice Template Content and Layout

The layout of the VAT invoice templates provided here is similar to the layout of the default invoice template provided by Excel Invoice Manager. It contains:

  • Invoice header section, which includes logo image, company details, invoice date and invoice#. Company detail includes company name, company address, company telephone number and email address, company number, and VAT registration number (if VAT registered).
  • "Bill To" section allows you to enter client details, including Customer#, customer name, address, city, state & zip, country, phone.
  • "Ship To" section, including name, address, city, state and zip, country and contact.
  • Other fields/cells put below the "Bill To" and "Ship To" section, including purchase order#, sales rep. name, dispatch date, delivery method, payment term, and due date.

VAT invoice template - main form

The invoice body section contains 6 columns that will display on the printed invoices, including description, price, quantity, total (net), VAT, total (VAT); there are also 3 columns to the left of the visible invoice body, which are visible only when you are creating invoices, and will not be visible on the printed invoices - "product#" column, "taxable" checkbox column and "product selection" icon buttons column.

As described in the preceding section, here we offer two types of VAT invoice template. The most important difference between the two VAT invoice templates is that with the first one, price excludes VAT, and with another, price already includes VAT.

And finally, at the end of the VAT invoice forms there are calculated cells (fields), including Net Total, VAT, Total, Paid, Total due, and a manually editable cell Delivery Charge.

Calculating VAT using Formulas

If price includes tax, the following formulas are created to calculate "Total (VAT)", "VAT" and "Total (Net)".

The "?" symbols in the names and formulas are line numbers of the current row. For example, for the first row on the invoice body, the "Total (VAT)" cell is actually named "oknLineTotal_1", and the formula to calculate its value is actually "=oknPrice_1 * oknQuantity_1".

If the price excludes tax, the following formulas are created to calculate "Total (VAT)", "VAT" and "Total (Net)".

  • VAT invoice template that supports 2 Vat tax rates (C5-005)

    This VAT invoice template supports two vat taxes. Unlike the default invoice template included in the setup program of Excel Invoice Manager, where the two taxes are both applied to each product or item, in this invoice template only one of the two VAT taxes is applied to a product or item, and each product or item in this VAT invoice template has a Tax Type property with which you can specify which VAT tax is suitable for the product item. However if the customer provide its VAT ID then it is Vat free.

    If your products have different VAT rates, say some of the products have 6% VAT rate and the others have 19% VAT rate, this template might be suitable for you.

  • VAT invoice template that shows VAT Rate on invocie form (C6-002)

    This VAT invoice template is a variant of C5-005 VAT Invoice Template. It differs from the original VAT invoice template in that the Tax Rate column is moved into the Print_Area. This makes the Tax Rate column visible on printed invoices.

  • VAT invoice template that shows VAT Rate and VAT Amount on invoice form (C6-003)

    This VAT invoice template is a variant of (C5-005) VAT Invoice Template. It differs from the original VAT invoice template in that the TAX Rate and Tax columns are moved into the Print_Area. This makes the Tax Rate and Tax columns visible on printed invoices.

  • UK VAT Service Invoice Template (C4-010)

    This service vat invoice template does not use Ship To fields, but added several new fields on invoice header, such as VAT Registration No., Application Type, VAT Total. It also added two new columns, VAT Rate and VAT Amount. For each product or service item, you can set a VAT percentage rate, which is loaded when you pick up a product or service item by clicking one of the icon buttons. For a product where there is no VAT payable there simply will be no figure in the VAT section, therefore, where VAT is zero the price and the total will read the same. The currency symbol of this VAT invoice template is set for UK (United Kingdom) format.
